Blue Provident Privacy Policy

Statement of Commitment

Protecting information supplied to us in the course of conducting our business is fundamental to our values. This privacy policy is our commitment to securely manage, store and protect your information and the information of others that comes into Blue Provident.

The practices undertaken by Blue Provident also comply with the strict requirements of the Australian Psychological Society “Code of Ethics” and “Ethical Guidelines”.

Scope of this Policy

This policy relates to all personal information collected, received, stored and used in any operations of Blue Provident.

Personal Information

Blue Provident gathers, receives, and stores personal and confidential information that is not public knowledge, both electronically and in hard copy. This information includes clients’ names, addresses, contact details, and employment details. In addition, Blue Provident stores information relevant to the psychological and consulting services being provided. This information may include, but is not limited to, meeting and discussion notes, analysis of information provided, file notes, project plans, assessment results, assessment reports, survey data, consulting and training documentation, and organisational performance data.

Purpose of Collection of Information

Personal information is collected to determine client’s requirements, identify appropriate interventions in line with the client’s requirements and provide or administer services as approved by clients.

Personal information is also used to clearly distinguish the records of different clients in order to ensure use of the correct records when recommending or delivering services across multiple clients.

Personal information is collected from employees of client organisations in the process of providing a range of consulting and survey services.

Documenting personal information enables appropriate consideration to a range of factors when recommending or providing advice or services in the course of business undertaken by Blue Provident Pty Ltd.

As part of the services provided, clients may also require statistical reports in order to measure aspects of their work environment or to evaluate the effectiveness or nature of the services provided them by Blue Provident over time.

Information that may identify an individual is not reported without the prior consent of individuals concerned. Personal data linked to individuals is de-identified in report formats by using only aggregated data.

Information is also gathered for invoicing procedures and, where applicable, for means of complying with contractual obligations.

Personal information is held in either secure filing cabinets, secure archives, or stored electronically in a computer database. Access is limited to authorised employees and relevant contractors only.

Use and Disclosure of Personal Information

Use of information is strictly limited to the primary purpose for which it was originally collected. Information can only be used or disclosed for a secondary purpose with the written consent of the individual, except where exempted within the National Privacy Principles, whereby information can be disclosed without consent:

  • To reduce the risk to a client or other’s life
  • Use of the information for research
  • Use or disclosure where required by law, or where reasonably necessary for the investigation of a criminal offence.

Data Quality

Blue Provident takes every reasonable step to ensure the personal and sensitive information it collects, uses or discloses is accurate and complete.

Data Security

Blue Provident takes every reasonable step to protect the personal information its holds from misuse, and loss, and from unauthorised access, modification or disclosure.

Openness

A copy of this Privacy Policy is displayed publicly on the Blue Provident website and copies in hard copy or electronic form are available upon request. Blue Provident will provide, upon request, information about the nature, purpose, collection, uses, and disclosure of information.

Provision of Privacy Officer

The Directors of Blue Provident are jointly responsible for all activities of the business including protection of the privacy and the consistent implementation of requirements and provisions outlined in this policy.

Access and Correction of Information

The Privacy Amendment (Private Sector Act) 2000 requires that Blue Provident allow persons to access all their personal information, including obtaining a photocopy, and the right to correct it, or at least attach a personal statement of correction. Requests for access to personal information can be made in writing to The Directors (or by e-mail to The Directors – service@blueprovident.om.au). Receipt of requests will be confirmed in writing.

The request for access should state specifically the details of the personal information and/or correction of personal information required. There is no fee for lodging a request for personal information, and/or for correction of personal information.

Blue Provident is entitled to set a reasonable fee to cover the administrative cost of actually providing or correcting the information. Blue Provident will grant access to information within 30 days or provide written explanation of any delays and an alternative access time.

Complaints Procedure

Concerns about any aspect of the management of personal information should be directed to the Directors of Blue Provident. Complaints will be managed and responded to under the direct authority of the Directors.

For matters of dissatisfaction with privacy decisions or action by Blue Provident, the National Privacy Commissioner can be contacted directly.
